Troop Committee meeting

The next Troop Committee meeting will be this coming Sunday at 11:00 AM.
We will meet at the Knights Hall.
There will be some interesting topics for discussion and it would be fantastic if we could get some parents to attend and share with us their opinions and concerns or ideas.

Again, Everyone is welcome, We hope to see a lot of people at this committee meeting.

Committee Meeting Minutes April 2009

Meeting Minutes 

Minutes Review: The minutes of the last meeting were reviewed and approved.

Treasurer Report:  Current balance as of 3/3/09 is $2634.86.  A summer camp deposit of $1700 was paid.  June 1st is the deadline for the final summer camp payment.  We will be requesting that final payments for individual scouts for summer camp be received by May 18th.  Annual dues collection is going well.  Statements will be sent out to each scout to update them on their balance & request payments. 

Summer Camp Status:   Summer Camp will be at Camp Piggot in the Chief Seattle Council from August 9 – 15.  Every scout is encouraged to attend.  Currently 22 scouts are signed up.  A deadline of May 18th has been set for final sign up and payments for summer camp.  Our statement owed for camp was based on #25 boys and #5 adults attending, but additional scouts can be added.  Leaders have agreed to share their camp fee equally.  

Candy Sale:  Report and sales total was not available.

Committee Positions:  There are many open positions for adult volunteers to become involved.  Chrystie Crawford accepted the position of advancement coordinator.  She will be implementing Troop Master software to track and monitor scout achievements.  All scouts will need to report directly to her with their handbooks to verify requirements are completed and signed off by leaders.

 Jamboree Fundraiser:  Currently 16 boys and 2 adults from our Troop are planning to attend the 2010 National Scout Jamboree.  Discussion was held regarding fundraising opportunities to support our scouts attending. Ideas suggested were car wash, E-scripts, spaghetti dinner or barbecue, coordination with an organization with a specific percentage of the proceeds going towards Jamboree.  Jerry will contact a charter representative to see if they would be interested in assisting us with organization of a summer barbecue. 

Service Projects:  1) Gresham Heroes Memorial dedication on May 2nd.  Those scouts participating need to arrive no later than 6:00pm in full uniform.  Meet at the Corner of Powell & Roberts.                 2) Flag Plant at Willamette National Cemetery on Thursday, May 21st.  Arrive by 5:30pm for the ceremony.  Flags will then be planted in Section F.  3)  Memorial Day – May 25th.  Gresham Heroes Memorial.  Arrive at 8:30 for set up, flag ceremony and take down following event.

May Court of Honor:  Dates were discussed for this event ---Sunday, June 7; Saturday, May 9; or the weekend of June 27 or 28.  Theme for this court of Honor will be “Oregon’s 150th Birthday Celebration.”  Availability of facilities will be checked and date confirmation will be made.  Sally, Teresa, and Muggy will coordinate this event.

Sesquicentennial Commemorative Patch:  Scouts can earn a special patch in recognition of their participation in the celebration of Oregon turning 150 years old.  Between Feb. 1, 2009 and June 30, 2009, this patch can be earned by an individual scout or unit fulfilling the following requirements:  1) Visit a historical location that is important to the history of Oregon (State Capitol, Oregon Railroad Museum, historical museum, Champoeg Park etc.  2) Participate in Goodwill Good Turn, a service project for your chartering organization, school, or community, and log your service hours onto the Good Turn for America website.  3) Hold Troop meeting, Troop court of Honor or meeting with “Happy Birthday Oregon Theme.”

Friends of Scouting: We have earned our unit goal for 2009 and reached  Presidential status.  Thanks to all those who contributed. 

Camporee: May 15-17 in Beavercreek, Oregon at Horsemasters Farm.  Theme is “Camporee on the Moors.”  Dues cover the cost for each scout.  We will need to get confirmation from scouts at next Troop meeting to confirm our reservation numbers.  Transportation needs will be arranged dependent on number of boys attending.

Transportation:  Suggestion was made that all drivers have written directions to each event destination prior to departure.  Each driver should also have a list of cell phone numbers for the Scoutmaster and assistant leaders attending the event. 

Medical Forms:  The BSA is implementing a new annual health & medical form which will be mandatory January 2010.   We are updating all medical records and each scout & leader must have this new medical form completed, signed and returned by the next Troop meeting on Monday, May 4.  A physical exam on the old form (if still valid) must be attached to the new medical form. 

June Reservations:  June 12-14   Campout & Rock Climbing     Madras, Oregon        Parents & families are welcome & encouraged to attend this campout.  We will be doing several service projects.  Reservations are confirmed.  John Mooney is procuring the equipment.  Plan is to have as much climbing time available to the scouts as possible.

July Reservations:  July 10-12        Royce Finel Campout           Oregon Coast

 Sally will confirm the reservation.  This campout will incorporate canoeing during the weekend.

Scoutmaster Updates: The yearly program is as noted above.  There is a need for a 5th assistant scoutmaster.  Discussion was held and it was felt that more structure is needed to our current scoutmaster program.  We need to continue to teach, coach, train, and mentor the youth.  We currently have 5 patrols.  The intent is to initiate more structure with the assistant scoutmasters and assign them to a specific patrol.  This will allow one assistant leader overseeing 5-7 scouts and encourage improved engagement with the scouts.  We currently have 4 strong, qualified and committed assistant scoutmasters.  Jerry plans to have a scoutmaster training session to implement the new structure.
